The Global Industrial Cooperation Association (GICA) (“we”, “Association”, or “us”) is committed to protecting the privacy and data of its members.  GICA is responsible for complying with applicable privacy law.  GICA protects your privacy and develops technology that gives you the most powerful and safe online experience. This Statement of Privacy applies to the GICA site and governs data collection and usage. By using the GICA site, you consent to the data practices described in this statement.  Throughout your visit, you may be directed to other sites.  These sites have their own privacy policies and should be reviewed separately.

Collection of Your Personal Information

GICA collects personally identifiable information (PII), such as your email address, name, home or work address or telephone number. GICA also collects anonymous demographic information, which is not unique to you, such as your ZIP code, age, gender, preferences, interests and favorites. Consistent with Fair Information Privacy Principles, GICA collects only the minimal data necessary for the stated business purpose.

Your card details are stored by a third party and protected in accordance with best industry practice. The GICA complies with the Payment Card Industry Data Security Standard (PCI DSS). By contractual agreement, GICA guarantees that our third party processor secures your data appropriately.

There is also information about your computer hardware and software that is automatically collected by GICA This information can include: your IP address, browser type, domain names, access times and referring website addresses. This information is used by GICA for the operation of the service, to maintain quality of the service, and to provide general statistics regarding use of the GICA site.

Please keep in mind that if you directly disclose personally identifiable information or personally sensitive data through GICA public message boards, this information may be collected and used by others. Note: GICA does not read any of your private online communications.

GICA encourages you to review the privacy statements of Web sites you choose to link to from GICA so that you can understand how those Web sites collect, use and share your information. GICA is not responsible for the privacy statements or other content on Web sites outside of the GICA and GICA family of Web sites.

 

Use of your Personal Information

GICA collects and uses your personal information to operate the GICA Web site and deliver the services you have requested. GICA also uses your personally identifiable information to inform you of other products or services available from GICA and its affiliates. GICA may also contact you via surveys to conduct research about your opinion of current services or of potential new services that may be offered.

GICA does not sell, rent or lease its customer lists to third parties. GICA may, from time to time, contact you on behalf of external business partners about a particular offering that may be of interest to you. In those cases, your unique personally identifiable information (e-mail, name, address, telephone number) is not transferred to the third party. In addition, GICA may share data with trusted partners to help us perform statistical analysis, send you email or postal mail, provide customer support, or arrange for deliveries. All such third parties are prohibited from using your personal information except to provide these services to GICA, and they are required to maintain the confidentiality of your information.

GICA does not use or disclose sensitive personal information, such as race, religion, or political affiliations, without your explicit consent.

GICA keeps track of the Web sites and pages our customers visit within GICA, in order to determine what GICA services are the most popular. This data is used to deliver customized content and advertising within GICA to customers whose behavior indicates that they are interested in a particular subject area.

GICA Web sites will disclose your personal information, without notice, only if required to do so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process served on GICA or the site; (b) protect and defend the rights or property of GICA; and, (c) act under exigent circumstances to protect the personal safety of users of GICA, or the public.

We may send you communications by email unless you opt out of such emails.

To modify your communications preferences, you must first log in to your GICA profile.  Go to the communication preference under Edit My Personal Information in your profile to indicate specifically what you would like to receive or to opt out of receiving emails from us at all. You may update your preferences at any time. Please note that if you tell us that you do not wish to receive emails, you will still receive service emails which are necessary to confirm a conference registration.

We keep your data only for as long as we need it. How long we need data depends on what we are using it for, whether that is to provide services to you, for our own legitimate interests (described above) or so that we can comply with the law.

Use of Cookies

The GICA Web site use “cookies” to help you personalize your online experience. A cookie is a text file that is placed on your hard disk by a Web page server. Cookies cannot be used to run programs or deliver viruses to your computer. Cookies are uniquely assigned to you, and can only be read by a web server in the domain that issued the cookie to you.

One of the primary purposes of cookies is to provide a convenience feature to save you time. The purpose of a cookie is to tell the Web server that you have returned to a specific page. For example, if you personalize GICA pages, or register with GICA site or services, a cookie helps GICA to recall your specific information on subsequent visits. When you return to the same GICA Web site, the information you previously provided can be retrieved, so you can easily use the GICA features that you customized.

Security of your Personal Information

We protect your personal data against unauthorized access, unlawful use, accidental loss, corruption or destruction.

We also use operational measures to protect the data by limiting the number of people who have access to the database in which our conference information is held, for example.

We keep these security measures under review and refer to industry security standards to keep up to date with current best practices.

 

Sharing Your Data

We share some of your personal data with, or obtain personal data from, the following categories of third parties:

  • When you register for a conference, unless you opt out, you give us permission to share your information as follows:
    • Government authorities and law enforcement authorities: We may have to provide your personal data to government authorities to ensure that you can travel to your destination or to meet our legal and regulatory obligations.We may also share your information with a third party vendor to screen against U.S. Government denial lists.
    • Suppliers who provide services to us: We may share your data with the company which provides the conference catering services, for example, if you have requested a certain type of meal.
    • Your conference registration may be shared with conference hosts and other conference attendees

       

  • Your credit and debit card information: In order to process payments securely and prevent and detect fraud, we process payment card data through our payment card and fraud management services providers.
  • Rooming list from hotels: In order to correctly and appropriately manage your conference itineraries.

 

Your Rights

The data we collect from you is provided by you when you set up your profile via the GICA website. You can see all personal data held by us by logging into your profile. You may update, amend, correct or delete such data. You can also limit, restrict or object to the processing of your data. 

If you gave us your consent to use your data, e.g. so that we can send you marketing emails, you may withdraw your consent at any time.

You can object to our use of your data where we rely on our legitimate interests to do so. We explained the legitimate interests we rely in the table above under the heading ‘How we use your personal data’.

When you contact us, we will respond to you as soon as possible. If your request is more complicated, it may take longer to respond. There is no charge for most requests, but if you ask us to provide a significant amount of data for example we may ask you to pay a reasonable administrative fee. We may also ask you to verify your identity before we provide any information to you.

Changes to this Statement

GICA will occasionally update this Statement of Privacy to reflect company and customer feedback. GICA encourages you to periodically review this Statement to be informed of how GICA is protecting your information.

The Global Industrial Cooperation Association (GICA) values and safeguards its members’ privacy.  As such, the following policy statement covers the collection and use of personal information by GICA when members visit its website; when they register for GICA meetings; or, when they purchase or renew their annual membership.

Information Collection

GICA collects personal information in order to deliver a superior level of customer service. In order to facilitate online transactions and allow user access to members-only features, GICA collects certain information including:  names, addresses, telephone numbers, email addresses, membership IDs, and credit card numbers. In addition, personal information helps GICA keep members informed about the latest information and events.

The GICA website requires members to provide personally identifiable information in order to use certain functions of the site. By providing such information, members consent to GICA’s collection and use of it, as described in this Privacy Statement.

The information GICA members provide may include information collected during the registration process, including contact information (name, address, phone number, e-mail address, dietary restrictions, certification status, website URLs and titles) and financial information (credit card number). This information will be used to process a member’s order and, if necessary, to contact the member regarding the status of any particular order.

GICA may provide limited personal information to the following trusted service providers to enhance our membership services and for the benefit of our members:

hosting partners, Your Membership and/or Community Brands (AMS provider)

GICA understands the importance of minimizing the amount of Personal Identifiable Information (PII) data it maintains and retains such data only as long as necessary. GICA follows and maintains organizational record retention procedures, which dictate the length of data retention to meet business, legal and operational needs.

GICA will not ask member’s permission to collect or use aggregate information about website visitors or users of our products and services, since aggregate data does not identify you as a specific individual.

Information Disclosure

GICA takes the safeguarding of its members’ privacy very seriously. GICA does not sell or rent member e-mail address to other companies. To help GICA provide superior service, it may share personal information with credit card processing companies, merchants, and any other third party that may need the information for a member’s request to be processed. These organizations have their own privacy and collection practices, and GICA is not responsible for their independent policies. At times GICA may be required by law or litigation to disclose the personal information of member/members. GICA may also disclose information about a member if it determines that for national security, law enforcement, or other issues of public importance, disclosure is necessary.


How to Opt-Out of GICA Electronic Communications

From time to time GICA may send members information about its programs, products, and services via e-mail messages. If a member no longer wishes to receive GICA email communications, members may opt-out of receiving these communications by following the “unsubscribe” instructions in the e-mail message or contact us at info@gica.org.

Use of Cookies

Like many websites, www.gica.org uses “cookies” and other technologies to help GICA understand which parts of the website are the most popular, where its visitors are going, and how much time they spend there. GICA uses cookies and other technologies to study traffic patterns on its website, to make it even more rewarding as well as to study the effectiveness of our customer communications. In addition, GICA uses cookies to customize its members’ experience and provide greater convenience each time members interact with the organization.

If GICA members do not want information collected using cookies, a simple procedure in most browsers allows anyone to disable or enable the cookie feature. Please note that cookies may be necessary to enable members to use certain features on GICA’s website.

GICA will take every precaution to protect the personal information of its members. All personal information collected on individuals will be kept confidential and in a secure environment. Access to personal information will be restricted to only those personnel with a legitimate business purpose.
